Combined DMS Templates for AP Holds & AR Transactions

The team earned Process Improvement of the Quarter by delivering a highly impactful enhancement to the Debt Management System (DMS) by streamlining Accounts Payable (AP) Hold and Accounts Receivable (AR) Transaction processing for Medicare Part A cost report submissions. Previously, Reimbursement teams relied on four separate templates and a manual process for uploading demand letters. The team consolidated workflows into two automated templates, including integrated letter history uploads, significantly reducing duplication and manual effort. The results are substantial: faster processing, improved accuracy and more than 320 hours saved annually. This improvement elevates efficiency, enhances traceability and supports consistent, timely financial transactions.

The Special Recoveries team exemplifies collaboration and precision in managing overpayments. Serving as the primary point of contact for multiple external entities, the team consistently delivers exceptional customer service while meeting demanding requirements with accuracy and integrity. In 2025, this small but powerful group oversaw the reconciliation and processing of tens of thousands of complex transactions, managed fraud suspension actions, supported Technical Direction Letter implementation and safeguarded millions in Medicare funds.

Their cross‑training model allows seamless coverage, adaptability and consistent metric achievement, even during high‑volume periods. This willingness to step beyond individual tasks is key to the team’s success.
